ADMINISTRATIVE ASSISTANT

Blue Architecture is seeking a full-time Administrative Assistant to join our team in Bremerton, WA. We are a full-service design firm that specializes in providing architecture, planning, design, and project management. We work in teams, tackle exciting projects, and enjoy a stimulating and collegial environment. The Administrative Assistant will be part of the dynamic team within Blue’s operations.

Responsibilities:
  • Support our office manager in general office activities.
  • Provide front-line hospitality, including receiving and greeting clients, guests, and vendors.
  • Carry out general administrative and clerical duties including screening, routing, and responding to incoming calls, inquiries, and correspondence; filing; purchasing and managing inventory of office supplies; composing, typing, and distributing electronic correspondence; and calendar management
  • Manage and track Accounts Payable and Receivable.
  • Assist with coordinating and organizing events.
  • Anticipate the needs of others to ensure their seamless and positive experience. 
  • Perform collateral duties as needed or requested, from running errands to dropping off submittals, which may require you to have reliable transportation and a valid U.S. driver license.
Skills and Competencies:
  • Proficiency in Microsoft Office (Outlook, Calendar, Word, Excel) to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Proficiency in QuickBooks Online.
  • Familiarity with a range of financial transactions including Accounts Payable and Accounts Receivable.
  • Writing skills for generating letters and official correspondence.
  • Experience with electronic onboarding for new hires.
  • Attention to detail and accuracy.
  • Ability to multi-task and prioritize.
  • Work well under pressure and meet deadlines.
  • Exhibit polite and professional communication via phone, e-mail, and mail.
  • Strong organizational skills.
  • Ability to work both independently and collaboratively.
  • Ability to communicate clearly and concisely, both verbally and in writing.

Experience:  2+ years experience as an administrative assistant and/or bookkeeper
Education:  High School diploma required, college degree a plus.
Salary Range: $55,000 to $72,000 DOE.
